2009 KALAMA COMMUNITY FAIR PRINCESS RULES

1.   You and your family must be 100% committed to being a Fair Princess and be willing to spend the time and effort on the required Fair activities, this includes activities on Sunday’s.  NO exceptions unless family emergencies arise.  This commitment includes the participation of parents at ALL Fair Princess functions but can include other adult family members when the parents are not available. The 2009 Kalama Fair Princess program is open to Kalama area girls, 7th – 11th grade that have lived within the Kalama area and/or attended the Kalama School Dist.for one year.  She also should have intentions of attending the Kalama School District in theFall of her reign.  Home- Schooled students are eligible to apply.

2.   Any Princess found using drugs,alcohol or tobacco products after her selection and/or during her 2009 Kalama Fair reign (Feb. – Feb.) can be disqualified from representing the Kalama Community Fair. A reigning Fair Queen, which includes her Coronation Day and until the next Fair Queens’ Coronation Day, found using drugs, alcohol or tobacco products can also be disqualified from her reign.  Decisions to disqualify or to review circumstances will be made by the 2009/2010 Kalama Executive Fair Board,Princess Court Manager, Princess Ticket Sales Manager and Princess Participation Point Manager.

3.   Any guest, including boyfriends,wishing to accompany a Princess to a Kalama Community Fair Princess event must have prior approval from chaperones and parents, their own transportation, and will be expected to sell tickets.

4.   Each Princess and her parents will be given a calendar of events. She will be expected to attend all parades and certain other scheduled events.  If a Princess is unable to attend a scheduled Fair event, she must notify the chaperone in advance.

5.   Princesses should expect to arrive and stay with the Kalama Community Fair Chaperones until after the scheduled event and ticket sales are completed. Princesses should expect to return from scheduled events with a chaperone, a change of plan should have prior chaperone approval.
 
6.   A Princess may not hold a fund raiser in the name of the Fair or Fair Court for the purpose of raising raffle ticket funds or any other purpose without prior approval by the Fair Board.
 
7.  If a Princess is unavailable to participate in a Parade fundraiser, she will be expected to cover the expenses of attending that upcoming Kalama Fair Princess activity herself.

Ticket Sales will be scheduled before or after each parade, if allowed. Decorating of floats and or vehicles is the responsibility of the Princesses/parents/Chaperones.  Princess Manager Mara Walton will schedule the details before each parade. Princess fundraisers may be held the weekend before each parade, raising moneys necessary for meals, fun money, etc. If a Fair Princess does not participate in those scheduled fundraisers, she will need to raise her own funds.

PARADE FUNDRAISERS

The Fair Board has scheduled fundraisers to help cover the expenses of bringing a fair court and a float to the communities hosting parades and other activities (for example:  carnival rides & lunch). The Princesses & parents will be asked to participate (selling tickets, decorate, baking, setting-up, flower sales, clean-up, etc.).  These fundraisers are currently scheduled:

2009 KALAMA COMMUNITY FAIR

  Queen ELIGIBILITY

A Princess must sell seven hundred and fifty (750) tickets before she becomes eligible for Queen.

A Princess must earn 1000 PARTICIPATION POINTS to be eligible for Queen. 

A Princess must earn 100 Personal Appearance Points to be eligible for Queen  

The Kalama Fair Queen will be determined by Ticket Sales PLUS Participation Points.

In the event of a tie, the Princess with the highest ticket sales will become Queen.

 

2009 Kalama Community Fair

Princess Participation Point Guide

    PARTICIPATION POINTS will be based upon the following:

                   15 points - PARADES

                   10 points - PRINCESS MEETINGS*

                   10 points - COMMUNITY MEETINGS

                   20 points - WORK PARTIES (20 points for first 2 hours, 5 points for each additional hour)

                   20 points - FUND RAISERS (20 points for first 2 hours, 5 points for each additional hour)

                   50 points – FLOAT (pulling parade float) & and PARADE PARTICIPATION

Explanation of FLOAT and PARADE PARTICIPATION points: The intent of awarding these points is to reward the family of a princess that participates and supports all of the girls AND The Princess Court Manager; before,during and after a parade event. This could include chaperoning for ticket sales, chaperoning for public relations, positioning a float and retrieving afloat after a parade, float construction and deconstruction.  Supplying weather protection and food can also apply. Parade Participation also requires the family members (or guardians) to wear clothing representing and identifying the Kalama Fair “Team”.

Lose 10 Points – per each item missing from your Princess Wardrobe at a function requiring those Items; (Ex. your crown, sash, Princess T-Shirt) Call Mara at 673-4016 if problem arises.                                

Princesses are encouraged to seek out their own POINTS. Ask your chaperone or Board Member first!!! Fair Board members can give you a project that has participation points assigned to it.

Each Princess will have her own journal (Agenda) to record PARTICIPATION POINTS earned. All entries are to be made by your chaperone or Board Member and all entries are to be confidential. Your agenda book MUST be present at ALL events or points will not be awarded. Final entries can be no later than Noon of July 23RD, Thursday, your book must be presented at that time. Princess journals (Agendas) will then become the property of the Kalama Community Fair.

Participation Points will be tallied every two weeks by the Participation Point Manager:  Sue Seay, #673- 4106 who also can provide a Participation Point tally upon a request and her earliest convenience.

PARTICIPATION POINT GUIDE

A WORK PARTY will be defined as a group of Kalama Community Fair participants accomplishing tasks determined to be beneficial to the Kalama Community Fair property, programs,advertisement and goals of The Fair. The work party will be supervised by a Fair Board Member, but can consist of many groups of interested people.

A WORK PARTY must meet a minimum of 2 hours. 20 points will be awarded for each work party. Each additional hour will be awarded 5 points. To receive points from a scheduled Work Party, One Princess and One Adult with that Princess is required.  A working adult must be present for at least two hours.

PARTICIPATION in a Kalama Community Fair task, under the supervision of a Fair Board member will earn a princess 10 Points for the first hour, 5 points each additional hour. (Ex.after a regular scheduled meeting, a Princess looking to earn points, asks aboard member for a task and she is given the task of painting signs while that board member is at the fairgrounds.

A WORK PARTY may be scheduled or unscheduled and should the opportunity for an unscheduled party arrive, ALL princesses must be notified as soon as possible. (Ex. a parent has agreed to cut the grass at the fairgrounds and the princess is going to use their weedeater, all other princesses must be extended the invitation to work at the fairgrounds at that time.)

TASKS FOR PARTICIPATION POINTS that are taken home to do, unsupervised, by a Fair Board member will have assigned the total points that can be rewarded for that task – before it is taken home. Therefore, the amount of time spent on that task will not affect the point value of your task.  (Ex. sewing 25 Treasure Hunt pouches, you can take as long as you like, have a friend help or sew very quickly, the points you can earn have been predetermined and will be awarded upon completing the job as agreed upon.)

A PRINCESS may determine an opportunity has risen to meet the criteria necessary for a Fair Princess work party to win points. The Princess must have Fair Board approval and supervision. ALL other Princesses must be notified of the work party as soon as possible. (Ex. A Princess may take note that the Animal Barn needs cleaned/stalls put up/small animal cages readied/barn decorated, something she loves to do.  The princess sets up a work party by having board approval, supervision and then notifying all other princesses.)

A PRINCESS will be awarded 5 (five) Participation Points for each friend, invited by her, working throughout the work party, at least two hours.

A PRINCESS must arrive with their Princess Journals (agendas)/ schedule book and sign in with the chaperone/board member upon arrival. Princesses must also sign out and notify chaperone/board member when leaving.This is NOT OPTIONAL. Participation Points will be awarded at this time. If schedule book/journal (agenda) is not present during work party sign in, points will not be awarded.

PARTICIPATION POINT MANAGER: 2009 Fair Princess Participation Point Manager is Sue Seay, 673-4106. She will compile and record your earned points, every two weeks and more frequently if you desire.  Schedule a time with her, at her convenience.


2009 Kalama Fair Princess Ticket Sale Rules

1.  All tickets taken and moneys turned into the Fair Princess Ticket Manager  (Ann Davis) must be signed for by a responsible adult representing the Princess.  10% of the first 1000 in ticket sales will be awarded to the Princess. 15% of ticket sales on amount sold beyond the 1000 will be awarded to the Princess. Payment paid on Coronation Night, July,Friday, 24th, 2009.

2.  Princesses and her parents are financially responsible for all ticket stubs signed for, but not returned. If you can provide proof of loss, those ticket stubs will be voided and prizes cannot be won by those numbers. SO BE CAREFUL!!

3.  Be sure to make careful notes of all the stub numbers you are responsible for. If someone wants to sell tickets for you and you give them a book of tickets then be sure to note the numbers in your agenda book.  Because it is easy to get confused!

4.  Leave your initials or your personal stamp on the back of every stub in every book that represents you.

5.  For each transaction with the Fair Princess Ticket Manager, you will receive a receipt.   

       SAVE YOUR COPY!!

6.  Call Ann Davis: 673-3713 (Cell: 261-2829) to schedule ticket/money transactions. A minimum of a 24 Hour Notice  courtesy call to the Ticket Manager is required.

7.  1000 Tickets is the maximum to be checked out at ONE transaction with the Fair Princess Ticket Manager.

8.  Final Day for checking out any more additional tickets for your Princess Ticket Sales is Wednesday, July 24th, 2009.

9.  For a ticket SOLD to be eligible for the purpose of Ticket Sale Points earned by those sales, that ticket must be filled out in such a way the buyer of the ticket can be contacted.

10.  Holding a bake sale/garage sale or advertising any Fund Raiser for Fair Princesses is not allowed by Kalama Fair Princess Rules without prior consultation and approval from the Kalama Community Fair Board and Fair Court Manager.  If you want to raise money, check with the Fair Board before embarking on a Fundraising project.

11.  NEVER  go door to door alone!!  Many people in our community look forward to a visit from their Fair Princesses, so plan an outing with a friend or another Princess.

12.  Before/during/after parades and special events will be very valuable for the selling of your tickets.  Many times princesses have underestimated the amount of tickets they needed to have immediately available. Stock up ahead of the event.

13.  Information about your ticket sales is NEVER given out to anyone during the ticket selling period. Only  the Fair Princess Ticket Manager and the Fair Board Treasurer will be privy to the total ticket sale amounts and dollars returned by you. Keep it confidential.

14.  All Tickets, sold and unsold, will be delivered to the Princess Ticket Manager, Thurs, July 23rd, Noon., Fairgrounds Tickets returned after that time will NOT be counted towards your Queen Qualification Princess Points.  


2009 TICKET SALE GUIDELINES

1.     Remember that you are representing your Fair, your sponsor, your community and yourself.

  Look nice and be nice!

Always let someone know where you are selling tickets and how long you will be there.

      CALL if you are late.

Things to have with you:

            Plenty of Tickets

            Two pens

            Grand prize and merchant prize information

            Fair information (dates, phone #,event schedule)

5.     Wear your princess sash (tiara if appropriate).

6.     Ask permission from store owners in advance to sell in or in front of their business.

Introduce yourself, “Hello, I'm Princess……………with the Kalama Community Fair, would you  like to support our Fair?”

If you are in front of a business, never run up to someone as they are getting out of their car wait until they are done with their business.  As they are returning to their vehicle, say "Excuse me, I am Princess _______, etc."

If you are selling tickets with other princesses, take turns and never take a sale away from another princess.

Always say “Thank You”, whether a ticket was sold or not.

If you are being chaperoned, be very specific where you will be selling tickets and "check in" often with your chaperone - never leave without chaperone approval.

An invitation to you to attend a special event/meeting should always be cleared with the Fair Court Manager before you accept and attend this event/meeting.

HAVE FUN!!!  Remember that ticket sales are extremely important to the financial success of the Kalama Fair.  2000 in Ticket Sales is not an unreasonable number to aim for. *Carry tickets with you and *Take Advantage of any situation. *Plan a strategy and*Ask for assistance in creating opportunities from Fair Board members. They would be *Pleased and Resourceful (ex. setting up car washes or making a raffle prize available to assist in ticket sales). *Look for different events that you may want to attend (with parent approval) to *Create ticket sale opportunities.  The Kalama Fair Board wishes you great success in your race to be *2009Kalama Community Fair Queen.

TICKET SALE & QUICK SALE INCENTIVE GIFTS

Sample of  Ticket Sale Gifts are awarded at these levels:

              250 – ticket sales/ Perfume & Makeup

              500 – ticket sales/Silver Bracelet

              750 – Queen qualification/ticket sales/ Silver Photo Frame

            1,000– ticket sales/Choice of: Ring or White Gold Necklace & Earring Set

            2,000 – ticket sales/Gold bracelet or Gold Anklet

            3,000 – ticket sales/ TBA

            4,000 – ticket sales/TBA

            QUEEN - $1000 scholarship

Incentive gifts are ALSO earned by selling “Quick Ticket Sales”.  These raffle tickets have been specially marked and are sold at parades and/or other special events.

Princesses will receive Certificates in lieu of these gifts. The gifts will be given the night of the Coronation.  

The Fair Court Manager will give the certificate when the Princess and the Ticket Manager informs her that one has been earned.

The winner of the Queen’s Scholarship will receive her money upon completion of one term/semester of Post High School Education.

*These prizes are in addition to the money each princess will receive from her ticket sales. She will receive a cash of 10% of the first 1000 in ticket sales and then 15% in ticket sales beyond 1000.  Cash prizes and gifts will  be awarded Fair Queen Coronation night.

LETTERS OF REFERENCE

Dear Princess Applicant:

The Kalama Community Fair Board requests each princess applicant to select two persons, either a Kalama School District employee, Kalama business owner, or Kalama clergy to write a Letter of Reference. The persons selected for this reference should not be a personal friend or relative, but one who knows you through school, business or church. These Letters of References MUST be completed and returned to the Court Manager by Feb. 13th, 2008. When using the U.S. mail system, please allow enough time for this Letter of Reference to arrive at the home of Court Manager Mara Walton by Feb. 139h.Call Mara at 673-4016 to make other arrangements.  A Letter of Reference received past this date could disqualify an applicant.
